Search History Guide

This article consists of instructions on how to properly use the functionalities of HDE Email DLP User Console.

There are two parts of guides in HDE Email DLP User Console: User Console Guide and Admin Console Guide. As for this particular article, only the Admin Guide will be explained. The Admin Guide can be found in separate documents.

This Admin Console Guide is consists of four components:
1) Filter Search
2) Search and Release  Pending Approval Messages
3) Temporary Suspension Search
4) Password Protected Zip File Encryption History

1) Filter Search

a) Search History

☆ 1 - Click "Filter" - "Search History" in the left pane. In the "Search History" interface, there are a number of configurations such as :


1) Range :This option is used to search for specific messages within the specified date range.
2) Rule Group Name : This option is used to search for specific messages by Rule Group Name.
3) Rule Name : This option is used to search for specific messages by Rule Name.
4) Action Rules : This option is used to search for specific messages by the applied action (Sent/Delete/Request for Approval/Suspended Temporarily).

5) Subject : This option is used to search for specific messages by email subject.
6) Sender : This option is used to search for specific messages by sender address.
7) Recipient : This option is used to search for specific messages by recipient address.
8) Maximum Page Size : Maximum number of messages to display per page. You can select to display 10, 20, 50, or 100 result items on a single page.

☆ 2 - After click "Search", the search result is shown as below:

☆ 3 - Select and click an email, you can confirm detail information.

1) Filtered Time : The date of filtering.
2) Rule Group Name : Applied Rule Group Name.
3) Rule Name : Applied Rule Name.
4) Action Results : The result of "Applied Action", "Notification" and "Encryption".
5) Suspension Time : The date of request for approval or Suspend Temporarily.
6) Action Time : The date of being processed by Approver or User.

7) Processing Results : The result of being processed by Approver or User.
8) Attachment : If there are attached files (including files in HTML mail),  the mark  is shown.
9) Encryption : If it succeeded to encrypt attached file (excluding files in HTML mail),  the status become "Success".
10) Encryption Type Name : Applied Encryption Type.
11) Subject : The mail subject.
12) Sender : Envelope-From Address.
13) Recipient : Envelope-To Address.
14) Size : The mail size including Header, Message-body and Attached Files.

☆ 4 - After searching history, you can download the result (CSV format) and confirm ADDITIONAL information such as:



1) Error : This is the reason if filter function is not executed correctly.
2) Approver Name : The name of Approver.
3) UUID : Unique user ID.
 

2) Search and Release  Pending Approval Messages

The Sending Approval Guide itself are consists of three components:

a) Approve or Reject Message
b) History
c) Search and Release Pending Approval Message

b) History

☆ 1Click "Approval" - "History" in the left pane, you can find the latest 100 records that the messages were approved or discarded.

☆ 2 - Click "Approval" - "Search History" in the left pane. In the "Search History" interface, there are a number of configurations such as :

1) Range(Processing Time) : This option is used to search for specific messages within the specified date range.
2) Approver : This option is used to search for specific messages by approver name.
3) Processing Results : This option is used to search for specific messages by the applied action(Send/Delete).

4) Rule Group Name : This option is used to search for specific messages by Rule Group Name.
5) Rule Name : This option is used to search for specific messages by Rule Name.
6) Subject : This option is used to search for specific messages by email subject.
7) Sender : This option is used to search for specific messages by sender address.
8) Recipient : This option is used to search for specific messages by recipient address.
9) Range(Suspension Time) : This option is used to search for specific messages within the specified date range.
10) Maximum Page Size : Maximum number of messages to display per page. You can select to display 10, 20, 50, or 100 result items on a single page.

c) Search and Release Pending Approval Message

☆ 1 - Click "Approval" - "Search Messages" in the left pane. In the "Search Messages" interface, there are a number of configurations such as :


1) Range :This option is used to search for specific messages within the specified date range.
2) Rule Group Name : This option is used to search for specific messages by Rule Group Name.
3) Rule Name : This option is used to search for specific messages by Rule Name.
4) Subject : This option is used to search for specific messages by email subject.
5) Sender : This option is used to search for specific messages by sender address.
6) Recipient : This option is used to search for specific messages by recipient address.
7) Maximum Page Size : Maximum number of messages to display per page. You can select to display 10, 20, 50, or 100 result items on a single page.

☆ 2 - After click "Search", the search result is shown as below:

☆ 3 - Select the emails, and press "Release" button. Then you can send the emails at once.

3) Temporary Suspension Search

The Temporary Suspension Guide itself are consists of three components:

a) Send or Discard Message
b) History
c) Search and Release Temporary Suspension Message

☆ 1Click "Temporary Suspension" - "History" in the left pane, you can find the latest 100 records that the messages were approved or discarded.

☆ 2 - Click "Temporary Suspension" - "Search History" in the left pane, you can search for specific suspended messages through the suspension history.

1) Range(Processing Time) : This option is used to search for specific messages within the specified date range.
2) Processing Results : This option is used to search for specific messages by the applied action.(Send Automatically/sent/Discard).

3) Rule Group Name : This option is used to search for specific messages by Rule Group Name.
4) Rule Name : This option is used to search for specific messages by Rule Name.
5) Subject : This option is used to search for specific messages by email subject.
6) Sender : This option is used to search for specific messages by sender address.
7) Recipient : This option is used to search for specific messages by recipient address.
8) Range(Suspension Time) : This option is used to search for specific messages within the specified date range.
9) Maximum Page Size : Maximum number of messages to display per page. You can select to display 10, 20, 50, or 100 result items on a single page.

c) Search and Release Temporary Suspension Message

☆ 1 - Click "Temporary Suspension" - "Search Messages" in the left pane. In the "Search History" interface, there are a number of configurations such as :


1) Range :This option is used to search for specific messages within the specified date range.
2) Rule Group Name : This option is used to search for specific messages by Rule Group Name.
3) Rule Name : This option is used to search for specific messages by Rule Name.
4) Subject : This option is used to search for specific messages by email subject.
5) Sender : This option is used to search for specific messages by sender address.
6) Recipient : This option is used to search for specific messages by recipient address.
7) Advanced Search : Search emails which have not yet been sent even though the period of suspension defined in Rule Group settings has already expired.
8) Maximum Page Size : Maximum number of messages to display per page. You can select to display 10, 20, 50, or 100 result items on a single page.

☆ 2 - After click "Search", the search result is shown as below:

☆ 3 - Select the emails, and press "Release" button. Then you can send the emails at once.
