HDE Email DLP User Console Guide

This article consists of instructions on how to properly use the functionalities of HDE Email DLP User Console.

There are two parts of guides in HDE Email DLP User Console: User Console Guide and Admin Console Guide. As for this particular article, only the User Guide will be explained. The Admin Guide can be found in separate documents.

This User Console Guide is consists of three components:
1) Temporary Suspension Guide
2) Password Protected Zip File Encryption
3) Sending Approval Guide (Only for Approver)

1) Temporary Suspension Guide

The Temporary Suspension Guide itself are consists of two components:

a) Send or Discard Message
b) History

a) Send or Discard Message
☆ 1 - Click "Temporary Suspension" - "Suspension Messages" in the left pane, you can find a list of Suspension Messages.

*Note - Some suspended emails may be displayed more than twice depending on the set rules (ex. If there is Pending Rule for Company A and another rule for Company B, an email sent to both of these companies will be listed twice in Suspension Message.).

☆ 2 - Select and click an email, you can confirm detail information.

☆ 3 - After checking the content of email, click "Send" or "Discard".

*Note - Temporary suspended email will be automatically sent after the set period of time. Normally, user doesn’t need to do anything. If sender wants to stop an email that is in the process of sending because of errors/mistakes, user needs to access this system and manage the suspended email manually.

b) History

 - Click "Temporary Suspension" - "History" in the left pane, you can find the latest 100 records that the messages were approved or discarded.

2) Password Protected Zip File Encryption Guide

a) History

☆ 1 - Click "Encryption" - "History" in the left pane, you can find the latest 100 encryption messages.

☆ 2 - Select and click an email, you can confirm detail information.

3) Sending Approval Guide (Only for Approver)

This option only appears if the user is an approver for a particular sending approval filter rule.

The Sending Approval Guide itself are consists of three components:

a) Approve or Reject Message
b) History

a) Approve or Reject Message
☆ 1 - Click "Approval" - "Pending Approval Messages" in the left pane, you can find a list of Pending Approval Messages.

*Note - Some sent emails may be displayed more than twice depending on the set rules (ex. If there are two Approval Rules for Company A and B, an email sent to both companies will be displayed in 2 lines on Pending Approval list).

☆ 2 - Select and click an email, you can confirm detail information.

☆ 3 - Depending on your needs, you can edit Notification by clicking an arrow icon to the left of "Notification of Approval". 

☆ 4 - After checking the content of email, click "Approve(Send)" or "Reject(Delete)".

b) History

☆ 1Click "Approval" - "History" in the left pane, you can find the latest 100 records that the messages were approved or discarded.
