HENNGE Email DLP Testing Procedures

The following cases will be concerning the default rules built-in to the HENNGE Email DLP system.

1. Messages sent to external domains will be suspended for 5 minutes.
2. Messages sent to 3 or more domains will be suspended for 15 minutes.
3. Messages sent to 10 or more domains will be deleted.

HENNGE Email DLP can be customized to add additional rules that are company-specific. For example, HENNGE Email DLP allows companies that wish to filter highly sensitive information and send requests to supervisor for approval of those sensitive E-mails.

M1. Are E-mails sent to external domain E-mail addresses suspended for five minutes before they are sent out?

“Yes”, they will be suspended for five minutes before they are sent.

Step 1 - Please send an E-mail to an external E-mail address outside the organization using your Microsoft 365/Google Suite E-mail client.

Step 2 – Please login to your Email DLP Admin Console.

Step 3 – Click on the “Me” under “Suspension”
You will find the E-mail you have sent under the “Suspension Messages”.

If messages need to be sent immediately, users can click on the “Send” button; however, messages will be sent out in five minutes even if the user does not press the “Send” button.

M2. Are E-mails sent to 3 external domains suspended for 15 minutes before they are sent out?

“Yes”, they will be suspended for 15 minutes before they are sent out.

Step 1 – Please send an E-mail to three different external E-mail address outside the organization using your Microsoft 365/Google Suite E-mail client.

Step 2 – Please login to your Email DLP Admin Console.

Step 3 – Click on the “Me” under “Suspension”
You will find the E-mail you have sent under the “Suspension Messages”.

If messages need to be sent immediately, users can click on the “Send” button; however, messages will be sent out in 15 minutes even if the user does not press the “Send” button.

M3. Are E-mails sent to 10 or more external domains deleted directly?

“Yes”, they will be directly deleted and not be sent out.

Step1 – Please send an E-mail to ten different external E-mail address outside the organization using your Microsoft 365/Google Suite E-mail client.

Step 2 – Please login to your Email DLP Admin Console.

Step 3 – Click on the “Temporary Suspension” -> “History”

You will find the messages you have sent out under the deleted items.

M4. When there are attachments sent with the E-mails, do the attachments automatically be password encrypted?

“Yes”, they will be password protected.

Step 1 – Please send an E-mail with an attachment to an external E-mail address outside the organization using your Microsoft 365/Google Suite E-mail client.

Step 2 – Please login to your Email DLP Console.

Step 3 – Click on the “Me” under “Suspension”
You will find the E-mail you have sent under the “Suspension Messages”.

Please click on the “Send” button.

Step 4 – You will receive an E-mail containing password that can be used to decrypt the attachment.

You can choose how you want to communicate the password with the recipient of the E-mail. The ideal method is to communicate the password with the recipient using a separate protocol to ensure that the information is highly secured.

M5. Can the recipients use a specific password to decrypt the attachment file?

“Yes”, they can.

Step 1 – Copy the password from the E-mail generated.

Step 2 – Decompress and decrypt the file using the password by:

First downloading the file.

Then paste the copied password into the password entry field to unzip the file.

M5. What type of information can HENNGE Email DLP filter?

HENNGE Email DLP uses Regular Express to filter all the information in the E-mail message. Sensitive information such as SSN, birthdays, telephone numbers and financial information such as credit card and bank account information can all be detected before they are sent out.
