Target
- Customers using Email Archive with Microsoft 365
Purpose
- Configure Email Archive so that only emails sent or received by specific Microsoft 365 (Exchange Online) accounts are archived.
Notes
- If the system does not operate as expected, you may be asked to contact Microsoft support.
- Even if only some users utilize HENNGE One products, you must purchase the same number of licenses as your Microsoft 365 licenses.

Procedure
Pre-Check Items
- Open Microsoft Purview and click [Solutions] - [Data Lifecycle Management] - [Exchange (legacy)] - [Journal rules]. Check that there are at least two available slots.
If there are not enough, please adjust accordingly. -
If you have the following settings, please take screenshots showing the configuration and send them to us before proceeding, as these may affect mail routing.

Create a Distribution List
- From the Exchange admin center, open [Recipients] – [Groups].
- Open the [Distribution list] tab.
- Click [Add a group].
- On the [Choose a group type] screen, check [Distribution], then click [Next].
- On the [Basic Settings] screen, enter a name of your choice and click [Next].
- On the [Assign owners] screen, click [Assign owners], add the user to be set as the admin, and click [Next].
- On the [Add members] screen, click [Add members], add the senders to be included in Email Archive, then click [Next].
- On the [Edit settings] screen, configure as follows and click [Next].
- Group email address: Any value
- Join the group: Closed
- Leave the group: Closed
- On the [Review and finish adding group] screen, review the settings and click [Create group].
- On the [Group name has been created] screen, click [Close].
* The group name will be the name you set.
Configure "Undeliverable journal report recipient"
- From Microsoft Purview, click [Settings] – [Data lifecycle management] – [Exchange (Legacy)].

Enter the following address in [Undeliverable journal report recipient] and click [Save].

Create Journal Rules
*For the values to set in the journal rule, refer to [Service List] – [Email Archive] – [Connection Settings] in the Customer Portal.
[Customer Portal] How to check the HENNGE One service list
- From Microsoft Purview, open [Solutions] – [Data lifecycle management] – [Exchange (Legacy)] – [Journal rules].
- Click [New rule].
- Enter the following information and click [Next].
- [Journal report recipient]: As specified in the Customer Portal
- [Journal rule name]: "HENNGE Journal Rule 1"
- [Senders or recipients to journal]: [Specific users or groups] – [Select users or groups] – [Select the distribution list created in the Create a Distribution List procedure]
- [Type of messages to journal]: All messages
- On the [Review and finish] screen, review the settings and click [Submit].
- Click [Done].
- Repeat steps 1 – 5 above to create a second rule.
Set the following values:- [Journal report recipient]: As specified in the Customer Portal
- [Journal rule name]: "HENNGE Journal Rule 2"
- [Senders or recipients to journal]: [Specific users or groups] – [Select users or groups] – [Select the distribution list created in the Create a Distribution List procedure]
- [Type of messages to journal]: All messages
- Once you have confirmed that two journal rules have been created, the setup is complete.

- Follow the instructions in the article below to confirm that the connection has been successfully completed.
