(Full Manual) HENNGE Email Archive Initial Setup (for Microsoft 365)

This manual will guide you on how to setup HENNGE Email Archive for Microsoft 365:

1) Setup Journal Rules
     A) All users
     B) Only specific groups of users 
2) Confirm Setup

 

1) Setup Journal Rules

Step 1 - Login to your Microsoft 365 Admin account. Go to "Exchange admin center" > "recipients" > "contacts" > click on the add button "+" to add a new contact information.

Step 2 - Create a new contact with the information below. Then click "Save".

Display name: NDR (or any other name of your choice)
Email address: ndr@journal.hdemail.jp

Step 3 - Go to "compliance management" > "journal rules" > "Select address" for "undeliverable journal reports" as "ndr@journal.hdemail.jp".

Select the contact you have just added, "ndr@journal.hdemail.jp", and click "OK".

 

**Next, go to A) if you wish for all users' emails to be archived, or skip to B) if you wish for only specific users' emails to be archived.

 

A) Setup Journal Rules for All Users

Step 4 - In the journal rules page, click on the add button "+" to create a new journal rule.

Step 5 - Input all the necessary information as shown below. For the field "*Send journal reports to:", please use the address "yourdomain@j01.hdems.com" that we have provided.

Step 6 - Repeat the same process, but with a different address "yourdomain@j02.hdems.com"

You have now completed the initial setup of HENNGE Email Archive with Microsoft 365. Please go to 2) Confirm Setup to check if the settings have been completed properly.

 

B) Only a specific group of users

Step 5 - You will need to create a distribution group and add the users you wish for their emails to be archived. First, in the Exchange admin center, go to "recipients" > "groups" > click on the add button "+" > select "Distribution group"

Step 6 - Input the details of the distribution group accordingly. You can specify any name you wish.

 

Step 7 - Add all the specific members into the distribution list and save the list.

Step 8 - Go back to the journal rules setting page. In the Exchange admin center, go to "compliance management" > "journal rules" > click on the add button "+" to create a new journal rule.

Step 9 - Input all the necessary information as shown below. For the field "*Send journal reports to:", please use the address "yourdomain@j01.hdems.com" that we have provided.

In the field "*If the message is sent to or received from...", click on "A specific user or group..." and select the distribution group that you have just created in the previous step.

Once completed, click "Save".

 Step 10 - Repeat the same process but with a different address "yourdomain@j02.hdems.com"

You have now completed the initial setup of HENNGE Email Archive with Microsoft 365. Please go to 2) Confirm Setup to check if the settings have been made properly.

 

2) Confirm Setup

Step 1 - After finishing the journal rules setup above, send one test email to any email address of your choice.

Step 2 - Go back to Exchange admin center > "mail flow" > "message trace" and scroll down to the bottom and click "search" in order to trace check the test email you have just sent.

 Step 3 - The Message Trace Results window will show up. Check on the most recent email logs. If the journal rules have been set up properly, you should be able to see two extra logs of test emails that were sent to "yourdomain@j01.hdems.com" and "yourdomain@j02.hdems.com".

*Note: It may take a while for the email log to be reflected in Microsoft 365 Message Trace box. If you can not find the log of the test email you have just sent, please wait for 5-10 minutes and refresh the message trace box to check the result.

You have now completed all the initial setup procedures of HENNGE Email Archive.
