Checking pending e-mails

Target

Users utilizing the hold function in HENNGE Email DLP are the target audience for the content of this article.

Objective

This article explains how to check and operate (send, stop, delete, etc.) emails held by HENNGE Email DLP in the HENNGE Email DLP user interface.

Detailed Explanation / Procedure

To check held emails, go to the left menu of the HENNGE Email DLP user interface, [Hold Tray] - [My Mail].

If you are using the browser's automatic translation function, menus may not be displayed correctly.

For emails held indefinitely (e.g., 10 minutes hold), if 10 days have passed since sending without performing send/delete operations, they will be automatically deleted.

1. Check Held Emails

Select the target email.

Rule Group Name : Displays the applied rule group name.

Rule Name : Displays the applied rule name.

Hold Date and Time : Displays the date and time the email was held.

From : Displays the sender (Header From).

To : Displays the recipients set in To.

Cc : Displays the recipients set in Cc.

Bcc : Displays the recipients set in Bcc.

Size : Displays the message size.

Attached File : Displays the attached file names.

3. Operations

3.1. Send Held Emails

To send held emails, select [Send].

3.2. Stop Held Emails

To stop pending mail, select [ Stop ].
[Stop] can be used to prevent an email from being sent automatically after a specified period of time has elapsed.
After the stop, the email will be put on hold until [ Send ] or [ Delete ] is performed.
If no action is taken after the suspension, the email will be automatically deleted after 10 days.

*Email text cannot be edited. If you need to edit it, please delete the email and resend a new email from Microsoft 365 (Exchange Online) or Google Workspace (Gmail).

3.3. Delete Held Emails

To delete held emails, select [Delete].
※ Deleted emails cannot be undone. If you need to send, please send again from Microsoft 365 (Exchange Online) or Google Workspace (Gmail).

3.4. Download Held Emails

It is possible to download held emails in eml format.
Since images embedded in the body cannot be previewed on this screen, download the email to check.

To download held emails, press the download button in the upper right of the screen.

To download attached files of held emails, select the file and press the download button.

To view attached files of held emails, select the file and press the view button.
※ Behavior may vary depending on your operating system.
※ Not all files are supported for preview.
