Question
Please tell me which emails are subject to archiving in Google Workspace.
Answer
All sent and received emails are subject to archiving.
However, this may vary depending on the sent and received email settings in Google Workspace.
* Please note that this may change due to future changes in Google Workspace specifications.
* Other emails not included below may be affected by Google Workspace specifications or settings.
For more details, please check with Google.
Emails that vary depending on settings
- Emails marked as spam by Google Workspace: This can be changed in the Google Workspace admin console.
- Automatically forwarded emails: If forwarding is set by the admin, these are not subject to archiving.
Sent and received emails addressed to each user's Gmail address
The eligibility for archiving of emails delivered to each user's Gmail address, as well as emails sent from there (including automatic notification emails within Google Workspace), is as follows.
- Internal → Internal: Subject to archiving
- Internal → External: Subject to archiving
- External → Internal: Subject to archiving
Sent and received emails addressed to Google Groups
The eligibility for archiving of emails sent to Google Groups and then distributed (expanded) to each member within the group is as follows.
- Emails sent from internal users to Google Groups (before expansion): Subject to archiving
- Emails delivered to Google Groups from internal users and distributed to each member (after expansion): Not subject to archiving
- Emails sent from external users to Google Groups (before expansion): Subject to archiving (*1)
- Emails delivered to Google Groups from external users and distributed to each member (after expansion): Subject to archiving (*2)
*1: If [Group account] is checked in [Receiving routing], the emails will be subject to archiving.
*2: If the DMARC policy setting of the sender domain is strict (p=reject or p=quarantine), the email may not be archived due to Google specifications.
For more details, please refer to [Important] Changes to Google Groups specifications and impact on Email Archive service due to stricter DMARC policy.
Also, since emails in *2 always go through step 3, if *1 is set, the email will be archived before being distributed, so you can rest assured.
