Target

Users who utilize the team mail feature in HENNGE Email DLP are the target audience for the contents of this article.

Purpose

This article explains the method by which team members can review and operate (send, delete, etc.) emails held by HENNGE Email DLP through the HENNGE Email DLP user interface.

Detailed Explanation / Procedures

In HENNGE Email DLP, team members can review and operate emails sent by predefined team members within the same team.
※ It is necessary for the administrator to configure team mail settings.

For team emails indefinitely held (not for a limited time such as 10 minutes), if 10 days have passed since sending via mailers, etc., without performing send or delete operations, they will be automatically deleted.
※ For emails in a paused state as well, if 10 days have passed since sending via mailers, etc., without performing send or delete operations, they will be automatically deleted.

1. Checking Team Mails

To check team mails, navigate to [Hold Tray] - [Team Mails] in the left menu of the HENNGE Email DLP user interface.

2. Item Description

Rule Group Name : Displays the applied rule group name.

Rule Name : Displays the applied rule name.

Hold Date : Displays the date and time the email was held.

From : Displays the sender (Header From).

To : Displays the recipients set to To.

Cc : Displays the recipients set to Cc.

Bcc : Displays the recipients set to Bcc.

Size : Displays the message size.

Attachments : Displays the attachment file names.

3. Operations

3.1. Sending Team Mails

To send team mails, select [Send].

Review the content and select [Send].

3.2. Deleting Team Mails

To delete team mails, select [Delete].
※ Deleted mails cannot be undone. If you need to send them, please send them again from Microsoft 365 or Google Workspace.

3.3. Pausing Team Mails

To pause team mails, select [Pause]. Unlike when sending or deleting, no confirmation screen is displayed.

When team mails are paused, emails will be held until a team member sends or deletes them.

For paused mails, if 10 days have passed since sending via mailers, etc., without sending or deleting, they will be automatically deleted.

3.4. Downloading Team Mails

It is possible to download team mails in eml format.
Since embedded images in the body cannot be previewed on this screen, download the mail to review.

To download team mails, select the download icon in the upper right corner.

3.5. Checking Attachments

To download attachments of team mails, select the file and then the download icon.

To view attachments of team mails, select the file and then the view file icon.
