Users utilizing the team email function in HENNGE Email DLP are the target audience of this article.
Purpose
This article explains how team members can check and operate (send, delete, etc.) emails retained by HENNGE Email DLP from the HENNGE Email DLP user interface.

Log in to HENNGE Email DLP
3. To use the team email function, it must be set up by the internal administrator in advance.
4. Team emails that are retained indefinitely (rather than temporarily, such as for 10 minutes) and not operated (sent or deleted) within 10 days from being sent via email client will be automatically deleted.
※ Emails that are halted will also be automatically deleted if not operated within 10 days from being sent via email client.

Procedure
In HENNGE Email DLP, predefined team members can check and operate emails sent by other team members.
1. Check Team Emails
From the left menu of the HENNGE Email DLP user interface, click on the target email under [ Suspension ] - [ Team ].
2. Explanation of Items
・Rule Group Name : The name of the applied rule group is displayed.
・Rule Name : The name of the applied rule is displayed.
・Suspension Time : The date and time the email was retained are displayed.
・Recipients : The actual recipient address is displayed.
※ This may differ from the To, CC, BCC in the email header.
・From : The sender (Header From) is displayed.
・To : The address set in To is displayed.
・Cc : The address set in Cc is displayed.
・Bcc : The address set in Bcc is displayed.
・Size : The message size is displayed.
・Attachments : The attachment names are displayed.
Click [ Show All ] to display a list of attachments.
・Text Body / HTML Body : The display format of the message can be switched.
3. Operations
3.1. Send Team Email
To send a team email, click [ SEND ].
Check the content and click [ Send ].
3.2. Delete Team Email
To delete a team email, click [ DISCARD ].
※ Deleted emails cannot be undone. If necessary, resend from Microsoft 365 or Google Workspace.
Enter a comment if necessary and and click [ Discard ].
If pre-configured by the administrator, the entered comment will be inserted into the notification sent to the sender.
3.3. Stop Team Email
To stop a team email, click [ STOP ].
By using [ STOP ], it is possible to prevent the email from being sent automatically after the specified time has passed.
After stopping, the email will be on hold until a user within the team either clicks [ SEND ] or [ DISCARD ].
If no action is taken after stopping, the email will be automatically deleted after 10 days.
* The email body cannot be edited. If editing is required, please delete the email and resend a new one from Microsoft 365 or Google Workspace.
Enter a comment if necessary and and click [ Stop ].
If pre-configured by the administrator, the entered comment will be inserted into the notification sent to the sender.
3.4. Download Team Email
To download an email, click the download button.
It will be downloaded in eml format.
3.5. Check Attachments
To check an attachment, click the view icon ( left in red frame ) or the download icon ( right in red frame ) for the respective file.
