Question
In File DLP, I am considering setting up an automatic stop policy to stop files and folders that are being shared unexpectedly.
When I checked the "Scheduled to Stop" status on several screens, there seems to be a difference in values for each menu. Why is this?
Answer
The differences in "Scheduled to Stop" occur because the method of calculating numbers varies for each menu.
- File List
Calculated based on the conditions set in the automatic stop policy.
All files and folders that match the search conditions are included. - Policy Details of Each Automatic Stop Policy, Dashboard
Calculates the files and folders that File DLP will actually perform stop actions on.
In each groupware, the sharing scope of a parent folder also affects child folders and child files (hereafter referred to as child items).
Therefore, if the parent folder is public, File DLP cannot perform automatic stop actions that only stop the publication of child items.

Additionally, when performing automatic stop actions on an entire folder including child items, changes in the sharing scope of the parent folder also affect the sharing scope of child items, so File DLP only performs actions on the parent folder.
Therefore, depending on the conditions of the automatic stop policy, there may be differences in the "Scheduled to Stop" numbers on the above screens.
Even if there are differences, the stop actions performed by File DLP on the parent folder will also be reflected on the child items, so please rest assured.
Specific Operational Example
Objective: I want to stop all external sharing using an automatic stop policy.
Conditions of the automatic stop policy: If the sharing scope is "Public - Anyone with the link", I want to stop all external sharing.
In this case, the number of items affected by this policy is currently a total of 3: "Folder 1", "File 1-a", and "File 1-c" that are publicly shared.
However, File DLP will only perform actions on the parent folder "Folder 1".
Therefore, the numbers displayed on the Administration will be as follows.
File List: 3
