Purpose
- This document explains the setup procedure for the team mail function in HENNGE Email DLP.
- By following this procedure, other members belonging to the same address group as the sender can operate (view, send, delete, stop) pending emails sent from shared mailboxes, etc.

- Administrator privileges for HENNGE Email DLP are required to verify the actual screen and change settings.
- Please refer to the following procedure for accessing the Administration.
How to access the Email DLP Administration Console - To use the pending function for emails sent from a shared mailbox and check emails from the HENNGE Email DLP user screen, the use of team mail is required.
※ Shared mailboxes cannot access the HENNGE Email DLP user screen and cannot check pending emails.
Therefore, by using the team mail function, it is possible to operate pending emails from the user screen.
Procedure
Creating an Address Group
1. Refer to the following article to input each item and create an address group.
In the [Register Address and Specify Approver] section of the address group creation screen, enter the addresses of users or target shared mailboxes you want to allow to operate pending emails.

Creating Rule Groups and Rules
1. Refer to the following article to input each item and create a rule group.

2. Select the created rule group and click [+ Create New Rule].
3. The rule creation screen will be displayed, so enter the following settings necessary for team mail.
※ The following are examples of settings used for the team mail function.
If necessary, refer to the following article to add other condition settings according to actual operation.

- Action: Select Pending and set the pending time between 1 and 999 minutes or [Do not send automatically].
※ If set to [Do not send automatically], it will be automatically deleted if neither sent nor deleted after 10 days. - Check [Allow operation for sender address group members].
※ By checking [Allow operation for sender address group members], team mail is enabled.
4. Once the necessary conditions are set, click [+ Submit].
5. If you want to target only emails sent from a shared mailbox for team mail operation, set the following.
- Select [Match all of the following conditions] in [Rule Conditions] and click [+ Add]
- Specify [Envelope Sender] in [Target]
- Specify [Matches regular expression] in [Condition]
- Then, enter the email addresses you want to target for operation, such as shared mailboxes, in [Pattern].
Use a backslash \ to escape the period .
To specify multiple email addresses, use | between each address.
Example: To specify three email addresses as targets, specify as follows.
usergroup@example\.com|user1@example\.com|user2@example\.com
