Question
When sending emails to external recipients, we usually convert attachments to URLs (HENNGE Secure Download), but is it possible to configure the system so that for specific recipients or specific emails, files are sent as-is without URL conversion?
Answer
By combining Email DLP's "Rule Groups" and "Filters," you can skip URL conversion and send attachments as-is only when certain conditions (such as domain or keywords) are met.
Below are some common configuration examples.
* If you want to remove all existing configurations, please also refer to the following article.
[Email DLP] How to remove Secure Download (Secure Download for Box) settings
Table of Contents
- Send as-is to specific recipients (domains or email addresses)
- Send as-is when specific keywords are included
- Send as-is when a specific address is included in CC
Procedure
Pattern 1: Send as-is to specific recipients (domains or email addresses)
- In the Email DLP Administration, click [Secure Download Policies] - [+Create].
-
Under [Secure Download Type], set [Send with Secure Download] to [OFF].
In [Recipients], configure the Address Group for the recipients you want to send as-is, then click [Apply].
* For instructions on creating Address Groups, please refer to the following article.
[Email DLP] Address Settings - Creating / Editing Address Groups - For other settings, please refer to the following article.
[Email DLP] Attachment Settings - Creating / Editing Secure Download Policies - Click [Create].
Pattern 2: Send as-is when specific keywords are included
You can configure the system so that Secure Download (Secure Download for Box) is not applied when specific keywords are included.
In [Rule Groups], specify the conditions as shown in the image below to send attachments as-is. (*1)
- Attachment: Send unmodified
- Target: Specify one of [Subject] / [Body (including attachments)] / [Attachment]
- Predicate: matches regular expression
- Pattern: Set the desired keyword (please use regular expressions)
-
Count: 1
Creating a Rule Group alone will not work; be sure to link it to a Filter. (*2)
(*1) For instructions on configuring [Rule Groups], please refer to Create a Rule Group.
(*2) For instructions on creating [Filters], please refer to Create a Filter.
Pattern 3: Send as-is when a specific address is included in CC
In [Rule Groups], specify the conditions as shown in the image below to send attachments as-is. (*1)
* With this configuration, if the specified address is included in CC, URL conversion will be excluded (attachments sent as-is) for all recipients in To and Bcc as well.
- Attachment: Send unmodified
- Target: Header Cc: (email address)
- Predicate: matches regular expression
- Pattern: Set the desired address (please use regular expressions)
-
Count: 1
Creating a Rule Group alone will not work; be sure to link it to a Filter. (*2)
(*1) For instructions on configuring [Rule Groups], please refer to Create a Rule Group.
(*2) For instructions on creating [Filters], please refer to Create a Filter.
If the configuration does not work as expected, please check the following:
- Whether the target email addresses or domains are correctly registered in the Address Group
- Whether the attachment setting is set to "Send unmodified"
- Whether the priority of the filter for encryption exclusion is high (lower number)
If you are unsure about the configuration or are considering exclusion settings other than those above, please contact HENNGE One Technical Support.
